Job Summary
The Office Assistant supports daily administrative operations by performing a variety of clerical and organizational tasks to ensure the office runs efficiently. This role provides direct support to the Director of Transformers and other staff by managing communications, maintaining records, and coordinating office activities. The position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
A. Key Responsibilities
- Maintain and update information in company databases and filing systems
- Answer, screen, and direct phone calls; greet and assist visitors in a professional manner
- Provide administrative support to staff, including preparing and distributing communications
- Sort, distribute, and manage incoming and outgoing mail
- Draft, type, and maintain correspondence and office documents
- Schedule meetings, appointments, and travel arrangements for management and staff
- Collect, organize, and report data to support office operations
- Order, track, and maintain inventory of office supplies and materials
- Operate general office equipment such as copiers, scanners, and printers
- Ensure reception and work areas are clean, organized, and presentable
- Assist with special projects and additional administrative tasks as assigned
B. Required Qualifications
- High School Diploma or equivalent required; Associate’s Degree preferred
- Basic computer proficiency, including Microsoft Office (Word, Excel, Outlook)
- Strong organizational and time management skills
- Good verbal and written communication skills
- Ability to handle multiple tasks and prioritize effectively
- Professional demeanor with strong customer service skills
- Ability to route inquiries to appropriate departments or personnel
- Familiarity with general office equipment and telephone systems
C. Preferred Qualifications
- Prior administrative or office support experience
- Experience with data entry and maintaining databases
- Familiarity with office procedures and recordkeeping systems
- Experience in a manufacturing or industrial environment
